Plas yn Llangoed Campsite Terms & Conditions 2022

Plas yn Llangoed (the “Campsite”) is a small, family friendly eco-
campsite and to ensure that all our camping guests enjoy their stay it is essential that we have some rules in place.

In these Terms & Conditions, references to “we” and “us” refers to the Campsite; and references to “you” refers to all and any person staying at the Campsite.

By making a booking and/or staying at the Campsite you accept the following Terms & Conditions:-

1. THE GREENER CAMPING CLUB

  1. a)  In order to comply with countryside planning policy, we operate as a Greener Camping Club members-only campsite (the “Club”). The Club was established by people with a passion for sustainable eco-friendly camping holidays.

  2. b)  When you book your holiday with us you will be enrolled as a member of the Club. Membership costs just £12 for the calendar year and gives you access to some of the greenest campsites in the UK. It also includes participation in the Club’s ‘Trees for Life’ scheme, whereby a tree is planted for every member we enrol.

2. PAYMENT

  1. a)  We require full payment at the point of booking to secure your stay. Please note that a fee of £12 is added automatically for your Club membership by the payment system.

  2. b)  If you are already a Club member we will refund the membership fee.

  1. CANCELLATION BY YOU

    1. a)  Any cancellations by you will in all cases be subject to the following deductions: the Club fee (unless clause 2 b) above applies); the Bedful booking fee; the Hipcamp UK commission fee (if applicable); and a £20 admin fee.

    2. b)  Subject to clause a) above, if you cancel your holiday less than 28 days before your arrival date and we are able to re-let your holiday for the dates you have booked, we will refund your full payment.

    3. c)  Subject to clause a) above, if you cancel your holiday more than 28 days before your arrival date we will refund your full payment.

    4. d)  Bookings are not transferable to another family without our prior agreement in writing. Any agreed transfer will incur a £20 admin fee plus a further £12 Club fee, if applicable.

    5. e)  If you are concerned about the prospect of cancellation, please take out holiday insurance.

  2. CANCELLATION BY US

The Campsite reserves the right to cancel a booking at short notice if we are unable to provide safe accommodation or camping environment due to extreme weather conditions, ill-health, fire, flooding or any other extenuating circumstances beyond our control. Under such circumstances your full payment will be returned to you. We cannot accept liability or responsibility for any loss, including consequential loss, caused by cancellation. The Club fees however are non-refundable.

5. SPECIAL CORONAVIRUS CONDITION

If, as a result of Government restrictions on campsites we are forced to cancel your holiday; or if you or a member of your party test positive for coronavirus; or if you or a member of your party are required by law to self-isolate - and therefore you are not able to come on holiday, we make a heartfelt request that rather than a refund; to which you are entitled (subject to the deductions set out at clause 3 a) above and satisfactory proof of a positive test), we instead hold your payment as a credit against a later stay; valid for up to 12 months from your original holiday dates (subject to availability).

6. CHILDREN’S & ADULT’S SAFETY

Minimum age for children is 3 years old.
Also no under 18’s allowed without adult supervision.

There are many opportunities for play and adventure at the Campsite. Our aim is for all our guests to have a wonderful time and enjoy the space and freedom but there are contingent risks to be aware of. These include, but are not limited to, BBQ’s, the campfire area, tripping hazards, including uneven paths and steps, there is a shallow stream bounding the land and there are horses in adjoining fields.

These risks are small and should be self-evident - but if you are not clear, please ask us!

The Campsite accepts no responsibility for injury incurred on site.

We want to keep our younger campers safe so parents and carers are responsible for the supervision of their children on site AT ALL TIMES, especially when using the shower, toilet and washing facilities for their own safety. Children should not be allowed to roam unsupervised.

7. ARRIVAL AND DEPARTURE TIMES
Arrival time is between 2pm and 8pm.
Please call us if you think you may arrive late so that we

can make suitable arrangements.

On your departure day, please vacate your pitch by 11am. Please leave things as you found them and ensure that your rubbish has been placed in the appropriate containers and your fridge shelf emptied.

8. CARS AND CAMPERVANS

  1. a)  The speed limit whilst on site is 5mph and must be adhered to at all times.

  2. b)  The booking includes 1 car per pitch, please be environmentally friendly and car share when you can. Additional cars are charged at £5 per day if parked on site and must be

    booked in advance.

  3. c)  No cars, vans or motorcycles are allowed on the designated camping fields, but you will

    be able to park in the designated car park area. Wheelbarrows will be provided to help you move your belongings to your tent. Bicycles are allowed on site, but no cycling allowed across the designated camping fields.

  4. d)  Campervans - Maximum size allowed on site is 18ft by 8ft.

9. CONSIDERATION FOR OTHERS

  1. a)  This is a peaceful, family friendly campsite where guests come to relax and enjoy the great outdoors - NO noisy groups, no Stag or Hen parties allowed.

  2. b)  The Campsite operates a low noise policy from 10pm until 7am, these quiet hours must be respected, and conversations should be at low volume, loud noise doesn’t fit in with our relaxed space. No amplified noise is permitted on the Campsite, however acoustic instruments can be played before 10pm.

  3. c)  At all times guest’s language and behavior must be appropriate for a family friendly campsite. Noisy visitors who disturb other guests will be asked politely to leave without refund and the Campsite will not be liable for any extra costs incurred by you.

10. PITCHES

  1. a)  You’ll be allocated a specific pitch on arrival. You must follow any Campsite instructions when pitching your tent and related equipment.

  2. b)  We ask that you always respect any current government guidelines on social distancing.

11. FIRE PRECAUTIONS

Please make sure that all guests in your group are aware of fire notices and the locality of fire extinguishers etc. The assembly point is the designated/main car park and is clearly signed on site.

NO lighted candles are allowed in the hired Bell Tents.

12. SMOKING

If you smoke then do it outside, please consider the environment and others. Use common sense and do not smoke around other people and dispose of your cigarette butts carefully in the campfire.

All the indoor areas, undercover facilities and hired Bell Tents are strictly NO SMOKING.

13. HEALTH & SAFETY

Guests are advised to bring a good quality torch with them.
No ball games are allowed on site including the designated camping fields.

The release of balloons, the use of fireworks or sky lanterns are strictly banned as these pose a risk to wildlife. The flying of kites is prohibited for your own safety. Also drones are not permitted to be flown from or over the site.

14. DOGS/PETS

Unfortunately, no dogs/pets are allowed on site, except guide dogs. This is due to the fact that we are surrounded by fields that are used for livestock and horses.

15. PERSONAL BELONGINGS

  1. a)  You are responsible for keeping your belongings safe. The Campsite accepts no liability for the safety and security of any item, including vehicles, cash or possessions belonging to a guest.

  2. b)  If you leave items in the shared facilities they are left at your own risk. Please label all items placed in the communal fridge/freezer.

16. FIRE PIT AND BBQ’s

  1. a)  There is a communal fire pit which will be lit and maintained by the Campsite.

  2. b)  Two charcoal barbecues are available for guests to use on the designated grass area, you can use your own BBQ in this area only.

  3. c)  No campfires/BBQ’s to be used on the camping areas to maintain the safety of all our campers.

    DISPOSABLE BBQ’S ARE NOT ALLOWED ANYWHERE ON SITE.

17. RECYCLING & RUBBISH

Like you, we care passionately about the environment and have engaged the services of Gaskells Waste to help with the recycling of the Campsite rubbish.

a) A condition of camping here is that you recycle your rubbish. That means separating glass items and food waste and placing them into the designated recycling bins on site. .

b) Everything else, including paper, cardboard, all cans and plastics should be rinsed clean before putting them in the Gaskells Waste bin provided on site (yellow lid).

18. SEPTIC TANK - Toiletries, toilet paper and sanitary items

  1. a)  We are on a septic tank, so it is very important that you only flush toilet paper down the toilets.

  2. b)  Under no circumstances should you flush any sanitary items down the toilets. Please dispose of them in the bags and bins provided.

We supply Eco-toiletries and washing up liquid that is biodegradable and are suitable for the septic tank.

19. CHEMICAL TOILET DISPOSAL

If you bring a portable toilet or have campervan toilet waste and wish to dispose of the contents, WE DO NOT ALLOW disposal in our septic tank or any flushing toilet on site.

Please dispose of in our dedicated CPD container in the campervan area.

20. THE WEATHER

Any campsite can be subjected to harsh weather conditions, strong winds and torrential rain can occur at any time of year. You must ensure that your tent is robust and pitched correctly. Please note, we do not provide a refund because the weather is not to your liking. Extreme weather is covered under clause 4 ‘Cancellation By Us’.

21. DAY VISITORS

Day visitors are only permitted on site by prior agreement with the Campsite.

22. BREAKAGES AND DAMAGE

Should any damage or breakages occur, other than acceptable wear and tear, a charge for repairs or replacement will be made. Guests will be held responsible for any fire, smoke or general damage to structures caused by negligence.

23. COMPLAINTS

In the event of a complaint, please speak to us immediately. Complaints which are not brought to our attention during your stay cannot be dealt with once you have left the Campsite.

We have worked hard to create a peaceful, family friendly and pleasant holiday environment for all our guests. Please help us keep it this way and leave the Campsite as you would like to find it.
